About The Center

Where is ChIAC located?

ChIAC is located on the 52nd floor of the Aon Center, 200 East Randolph Drive, Chicago, Illinois.  The Aon Center rises over Chicago’s major downtown parks by the shoreline, at the edge of the central business district, mere blocks from the courts, law firms and corporate headquarters.

What are ChIAC’s regular hours of business?

ChIAC’s offices are open from 9 am to 5 pm, Monday through Friday, except federal holidays. On hearing days, the hearing center will be open for participants from 8 am to 6 pm.

Are there options for parking at ChIAC?

There is limited parking available in the Aon Center’s underground parking garage. Public parking is also available in underground parking garages in the surrounding buildings, as well as the Michigan Avenue Underground Parking. All parking garages have their own fee schedules.

Is ChIAC accessible to those using mobility aid equipment?

Yes. ChIAC is accessible to individuals using mobility aids and equipment. The Aon Center has elevator access to all floors, as well as accessible bathroom facilities and entryways.

Is ChIAC available to host hearings in arbitrations seated outside of Chicago?

Yes. Almost all arbitration rules permit hearings to be conducted outside of the seat if the parties and tribunal agree.

Bookings

How can I inquire about a booking?

All bookings are handled on a case-by-case basis, and initiated upon ChIAC’s receipt of an initial inquiry form. Please complete the inquiry form. ChIAC will reach out within 3 business days with a confirmation of the availability of the booking dates and necessary ChIAC Booking Agreement to be signed by the responsible parties. For the avoidance of confusion and duplicative inquiries, we ask that only one inquiry is submitted per arbitration, and a representative contact for each party responsible for payments to be listed on the form.

Can ChIAC hold a booking request?

Upon confirmation of the availability of dates, all responsible parties must execute the ChIAC Booking Agreement and remit payment on the initial reservation fee, comprising 20% of the entire booking, to secure the booking.

How far in advance can a booking be made?

ChIAC currently accepts bookings up to a year in advance of the first day of the hearing. We encourage parties to book at least 6 months in advance to secure the dates they desire.

What are ChIAC’s Cancellation Policies?

Confirmed bookings cancelled more than 120 days prior to the first day of the booking will incur a 20% cancellation fee. Confirmed bookings cancelled less than 120 days prior to the first day of the booking will incur a 60% cancellation fee. Confirmed bookings cancelled less than 60 days prior to the first day of the booking will incur a 100% cancellation fee. The full booking fee will be refunded to the parties if an alternative hearing is booked for the cancelled days. Please see Terms & Conditions for additional information.

What are the Booking Terms and Conditions?

Upon confirmation of the availability of dates, parties will be invoiced for an initial reservation fee, comprising 20% of the entire booking fee. Four months prior to the first day of the booking, parties will be required to remit payment for 40% of the total booking fee. Two months prior to the first day of the booking, parties will be required to remit payment for the remaining 40% of the total booking fee. Reservations will be held only upon the receipt of payment at each requisite interval. Failure to remit payment within 14 days of the due date may result in forfeiture of the booking should there be other parties interested in dates originally reserved. Can ChIAC facilities be reserved for non-hearing events?

Yes. ChIAC facilities can be reserved for non-hearing events, depending on availability. Non-hearing bookings will be considered up to a month in advance of the event. For non-bundled pricing on rooms, please inquire directly.

Services & Equipment

Are we required to use FTI’s hearing support services when we conduct hearings at ChIAC?

No. Parties are free to choose how they conduct their hearings, including the hearing support companies and individuals they work with. If there are any conflicts of interest in working with FTI, we can suggest alternative providers for electronic presentation of evidence (EPE), court reporting and interpretation services. Please contact us directly for questions regarding coordination of hearing support services.

Are there printing and copying services available?

Yes, there are printers and copy machines available for parties and tribunal use, for a fee. For large-volume printing, we can provide referrals to local litigation document support agencies.

Can we have our papers and materials sent to ChIAC prior to our hearing to be stored in a secured space?

Yes, we can receive materials up to a week in advance of the booking, to be stored in a locked closet on the premises. All storage arrangements are subject to availability and will incur an additional charge. Please inquire about this service specifically.

What are the meals and refreshments offerings and options?

ChIAC provides a standard beverage service (coffee, tea and water) free of charge in every hearing room, tribunal break rooms and in the main lounge throughout the regular hours of operation. Please inquire separately for beverage, snacks and/or meal service in the breakout rooms. Catering options for breakfast or lunch are available upon request. Please inquire about catering up to a week in advance of the booking.

Do you have document shredding services?

Yes, ChIAC engages with a secure document shredding service for document shredding, offered complimentarily to our parties and tribunals. At the end of your hearing, please deposit the documents to be shredded into the locked drop box. In the case of quantities in excess of the locked drop boxes, additional fees may incur.

Can ChIAC ship or mail our materials back to us?

ChIAC can arrange for a courier service (FedEx, UPS, DHL or other service) to ship materials back to the participants’ offices. Parties will be charged at the rates billed by the courier service. Please contact ChIAC staff directly to arrange for shipping or mailing materials.
